Position Summary

This is a part-time position based in Cedar Grove, NJ

Hours: 9:00am-12:00pm Mon-Fri

This position combines traditional administrative duties along with software activation responsibilities and customer service by means of telephone and email. The ideal candidate will be very professional, enthusiastic, and comfortable working with people at all organizational levels. Must relay information in a timely manner, be an organized planner and problem-solver with the ability to prioritize a variety of time-sensitive tasks. Pro-actively assume responsibility for projects and deadlines and demonstrate ability to help team complete critical projects while maintaining workflow and miscellaneous office duties. This person will be reporting directly to the Office Manager. 

Essential Duties & Responsibilities

  • Assume receptionist duties such as, answer phone, route calls, and take messages
  • Must be very organized
  • Assist office management with administrative duties as requested
  • Provide and manage software activations
  • Distribute incoming mail and prepare outgoing mail
  • Maintain front desk area, keeping it clean and free from clutter
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; & verifying receipt of supplies
  • Assist with various program operations as requested as responsibilities permit
  • Other duties as assigned on day-to-day basis


  • Minimum 2 years’ experience as an administrative assistant to Sr. Management, VP or higher
  • Proficient computer skills including the entire MS Office Suite (Word, Access, Excel, PowerPoint)
  • Knowledge of general office machines, telephone system & web-based software applications
  • Effective interpersonal skills and excellent verbal communication skills 
  • Proficient in written communication, proofreading and editing
  • Ability to work independently in carrying out assignments to completion
  • Professional demeanor, positive attitude, witty and personable
  • Composes effective and accurate correspondence
  • Deals with non-routine matters such as special projects with minimal instructions
