FabSoft's Tag Doc is a complete document management solution for file indexing, distribution, search and retrieval. Hand-filing and manually searching for documents are cumbersome and time consuming processes—processes that most organizations would like to eliminate. FabSoft's Tag Doc eradicates frustrating problems associated with unwieldy paperwork operations. Tag Doc efficiently automates the archival of document sets by combining barcode tagging with the scanning utility of any MFP or scanner. When bar-coded documents are printed, Tag Doc stores the text information and assigns a barcode to the document. When the document is scanned back into the system, Tag Doc will read the barcode and use the associated stored information to automatically route to printers, fax, email or archive.

Tag Doc is 100% accurate and replaces OCR or Zonal OCR type processes, which have limitations to their accuracy. Tag Doc removes the potential of errors due to manually filing documents and enables file content to be fully searchable, which frees up time and allows business productivity levels to rise.

Document Process with FabSoft's Tag Doc

How Tag Doc manages your document intensive processes:

Tag – Tag Doc tags your forms with a barcode.

Sometimes typical barcodes can be unrecognizable due to poor quality scans or because document print has faded. The Tag Doc barcode was designed specifically for accurate barcode recognition, no matter what the conditions may be, so documents are always reliably distributed.

Users prints barcoded document - Tag Doc stores text and uses barcode as unique identifier

Distribute – Distribute your printed documents as needed; For instance, if the form is a purchase order that needs authorization or signatures, you can distribute the document to the appropriate person for signing.

Scan – Scan your signed forms using any MFP; Tag Doc will recognize the barcode on the form as the ID of the file and retrieve the related text of the document.

User scans signed documents - Tag Doc recognizes barcode and retrieves original document for distribution to printers, fax, email and archive.

Automatic Distribution – Tag Doc allows the text content of your files to be fully searchable enabling dependable and simple retrieval of your files

Example Tag Doc Scenario

A company receives a purchase order which is entered into their purchase order entry system. Using the entered information, Tag Doc automatically produces a bar-coded cover page and attaches it with the original purchase order. Both the cover page and the original PO are sent to the company’s Archive System. The entered information is also used to produce a pick ticket that contains a bar-code. The pick ticket is sent to the Warehouse and used by personnel to gather the items and record the picked quantities. When the completed pick ticket is scanned, Tag Doc recognizes the bar-code, archives it with the original PO, and also sends it to Accounts Receivable. Accounts Receivable enters the information from the pick ticket into their invoice entry system which generates an invoice that is sent to the customer, and also archived accordingly in the company’s Archive System. The entered information is also used to automatically generate a bar-coded bill of lading that is sent to the Shipping Department. When the items are shipped, the bill of lading is signed by the customer to confirm receipt and then scanned by the driver. Again, Tag Doc reads the bar-code on the bill of lading and files it with the previous documents sent to the company’s Archive System.
