Deployment Model

• Fully on-premises installation - no data is transmitted to external cloud services during processing.
• Air-gapped or network-isolated deployment options available for high-security environments.

Encryption

• Data at rest: AES-256 encryption for all stored files and processing outputs.
• Data in transit: TLS 1.2 or higher for any internal network communication between application components.
• Encryption key management handled via your organization's existing key management infrastructure or an integrated HSM.

Access Control & Audit Trails

• Role-based access control (RBAC) restricting file access to authorized personnel only.
• Detailed access logs capturing user identity, timestamp, action taken, and file accessed.
• Audit trail retention configurable to meet your organization's policy requirements (default 6 years, aligned with HIPAA record retention guidance).
• Tamper-evident logging to support internal and external audit reviews.

Data Lifecycle & Destruction

• Configurable data retention policies for processed files and derived outputs.
• Secure data destruction procedures, including cryptographic erasure and overwrite methods, available on-demand or via automated retention schedules.
• Chain-of-custody documentation available for destroyed records upon request.

AI File Pro provides the technical controls described above to help your organization meet its HIPAA Security Rule obligations.
